Web Design Agency or Freelance Designer: Which Should You Choose? — post content

A design agency or a freelancer? Which one should you choose? It's a very tough question for many business owners. With so many freelancers and web design agencies offering nearly the same services, it's hard to figure out which one is most suitable for you. As a design agency ourselves, we are not trying to convince you that an agency is the best option. We believe there are many freelancers who provide high-quality services. And the opposite is also true — you can get bad results with both freelancers and agencies. The choice between a freelancer and an agency depends on your needs, your budget, and many other criteria. And to help you make this difficult decision, we have made a list of the pros and cons of hiring an agency vs. a freelancer. However, keep in mind that we will be comparing good, reliable freelancers and agencies, so we assume that you have already found them, and this is just a matter of choosing whom to go with. Identifying high- and low-quality providers is another topic that needs to be discussed.

Freelance Designers

Let's start with freelancers. Freelancers are individual remote workers you can hire for various projects. There are many freelance websites where you can find qualified professionals. They may be more suitable than an agency for some companies. Let's see why:

Pros of Hiring Freelancers

Affordability

The first reason many businesses choose freelancers over agencies is that they offer more affordable prices. Freelancers set their own rates and you can negotiate fees based on the services you need. They can charge you either by the hour or per project.

Flexibility

As remote workers, freelancers can work whenever they want and adjust their schedules according to your project's needs. Some can even work on weekends and don't have strict working hours. This is a great advantage as you can hire them whenever and from wherever you want.

Direct Communication

When working with a freelancer, you'll discuss all your project details directly with the person doing the work, not through intermediaries. They are involved in the entire process of your project and you can communicate with them constantly and request changes about the project. For some companies, freelancers have even become a part of their teams.

Expertise

Freelancers are typically experts in their fields and more specialized than agencies. This is especially helpful if you have very specific tasks that require very specific skills. Also, when you need other services, freelance designers usually have connections and can refer you to some good professionals.

Cons of Hiring Freelancers

Reliability

Since a freelancer works individually and is the only person responsible for the work, it can be difficult to deal with unexpected or urgent situations. These unforeseen circumstances may prevent the freelancer from doing the work, and your project may remain incomplete. Also, it's hard to quickly replace freelancers to make up for their absence.

Specialization in Only One Area

This is both an advantage and a disadvantage. While specialization means the freelancer is very good at what they do, you can't assign them other tasks unrelated to their expertise. Let's say you need to hire a web designer and a graphic designer — you'll need to hire 2 different people. If they work in different time zones, managing the workflow will become even more difficult.

Unavailability

Yes, most freelancers have flexible work schedules, but that doesn't mean they're available 24/7. Good freelancers build good systems to manage unexpected situations, but it still doesn't mean they will always be available. Also, they work with several clients at the same time, and when you need them, they may be busy working for another client.

Hard to Replace

Freelancers can deliver high-quality work and you may start working with them long-term, which is great. However, getting to know the product and the brand can take a lot of time, and when the freelancer stops working with you, finding a new one will be difficult. You'll also need to start the entire onboarding process from scratch.

Longer Turnaround Time

Freelancers work alone on different projects at the same time, which means they work more slowly. If you want your website built quickly, a freelancer may not be able to do it. Before collaborating with a freelancer, make sure to clearly define how much time they need for the work, so you can reach your project and business goals without delay.

Web Design Agency

Now let's move on to creative design studios. Web design agencies also outsource to vendors working from all over the world. They have a team of designers and art directors working on different projects. An agency typically has designers specialized in different areas such as UI/UX and graphic design and, unlike freelancers, work on multiple different design projects. And that's not their only difference.

Pros of Hiring a Web Design Agency

Quality Assurance

When working with a design agency, you have a higher chance of getting a quality project. Freelancers can work today and stop working tomorrow and may not care much about their reputation. Finding a good agency is easier than finding a good freelancer, because established agencies have proven workflows and years of experience on various projects, whereas it's hard to gauge reliability with freelancers. Whereas agencies care a lot about their name and reputation. They put a lot of effort into showcasing their work and getting good reviews from their clients. All these reviews and references are a reasonable guarantee that they do their work properly. In addition, agencies typically hire the best talents and the most qualified experts, so by working with an agency you hire a team of professionals.

Fast Turnaround Time

Unlike freelancers, design agencies have a faster turnaround time and can complete the project in a much shorter time than freelancers. Typically, multiple people work on your project, so you get higher quality and speed. As they have several experts working on different projects and people who coordinate the work, they delegate tasks within the team more effectively.

Better Project Management

As I mentioned above, agencies also work with several clients, so a good agency must have a good project management system. Essentially, they have project managers who manage all client projects and ensure that all projects are completed on time. Since they will delegate your requests to the right team members, your problem will be solved very quickly. Also, the unavailability of any of the members won't affect your project as it can easily be assigned to another expert.

Long-Term Support

Agencies typically look for long-term partnerships, so once you start working with one, you'll likely work with them for a long time. As websites need ongoing support, this is very important for website creation and maintenance. Especially if you have an e-commerce website, you'll need to make revisions to your website quite often.

More services

Design agencies typically offer more than just web design services. It can be very helpful if you want to outsource several different projects. You'll be in touch with the same person for your different projects, and as the agency will handle all this work, you won't have to worry if there are any delays. In addition, there are different website builders that refer to website design and development, and many freelancers are only proficient in one of them. However, agencies will offer services for different platforms and will advise you on which is best for your website.

Cons of Hiring Web Design Agencies

Higher Cost

One of the main disadvantages of web design agencies is that they have higher rates than the average freelancer. And they're not affordable for some companies. Agencies have different experts, project managers, and other staff, and they need an office to work, so they have more expenses than freelancers.

Not Direct Communication

Unlike freelancers, by hiring an agency, you'll mostly talk to your project manager, not the designers who will work on your project. And it can be harder for some of you to explain the design preferences and demands for your website. In the case of design agencies, this makes sense because there are many designers and developers working on your project and it would be practically impossible to talk to them all to explain what you want.

They Offer Too Much

This is both an advantage and a disadvantage. While it's nice to have a partner who'll outsource all your projects, they may not be able to complete all of them at high quality. Agencies that offer too many services don't seem very reliable. They may be great at design but not as skilled in other areas. So be careful when choosing a design agency.

How Can You Make the Best Decision for Your Business?

So the question still remains — how can you be sure you've chosen the right contractor? By weighing the pros and cons of working with freelancers and web design agencies, we can draw the following conclusions. Choosing a freelancer makes sense in the following situations:
  • Your project is small and doesn't require multiple people to complete
  • you don't have a big budget
  • Your project isn't urgent and you don't need a fast turnaround
  • You're not looking for a long-term collaboration
Choosing a design agency makes sense in the following situations:
  • Your project is special and requires complex design and development that one person can't do
  • You need a fast turnaround
  • You want all your projects to be done by the same person/organization and don't want to work with multiple contractors
  • You're looking for a long-term collaboration
  • On-time and quality delivery is important to you

Final thoughts

As you can see, both options have pros and cons, and you'll need to make your decision based on your project scope and budget. Remember that a good agency and a talented freelancer can both deliver high-quality results. So, weigh your pros and cons to find the best solution.
